Description

Serve shaved ice to the Class of 2020 and try to get them to join ATS! Also hand out business cards to pub about Bobafest, which is in the afternoon!

Volunteers

Event captain(s): Janice Chui, Baula Xu; Julia Huang and Cynthia Lo also helped

  • Cynthia shaved ice
  • Baula shaved ice and helped serve toppings when there were a lot of people
  • Janice served toppings and refilled toppings
  • Julia handed out business cards to people and attracted people to our booth

Toppings List

Bought all the toppings from CMart the week before Activities Midway - around 80 dollars

  • Lychee
    • Bought 6 cans ~$2.60 each
    • Prepped all 6 cans: cut lychee into pieces and put all in ziplock bag
    • About 2 cans' quantity of lychee leftover in ziplock bag
  • Nata de Coco
    • Bought 5 cans ~$2 each
    • Prepped all 5 cans and put in ziplock bag
    • About 1 can's quantity leftover
  • Green Nata de Coco
    • Bought 3 jars ~$2.20 each
    • Drained all jars during prep
    • 1 and 1/2 jars leftover
  • Grass Jelly
    • Bought 5 cans ~$1.50 each
    • Prepped all 5 cans: cut into small pieces and put in 2 ziplock bags
    • One bag disappeared partway through the event, so in addition to that bag, about 3 cans' quantity leftover
  • Green Grass Jelly
    • Bought 3 cans ~$1.50 each
    • Prepped all 3 cans and put into ziplock bag
    • About 1 can's quantity leftover
  • Pineapple Chunks
    • Bought 3 cans ~$1.80 each
    • 1 can leftover
  • Red Bean Paste
    • Bought 3 cans + 1 extra in storage ~$3.20 each
    • 1 can leftover
  • Fruit Cocktail
    • Bought 8 cans + 1 extra in storage ~$1.50 each
    • 5 cans leftover
  • Condensed Milk
    • Bought 6 cans ~$2 each
    • 4 cans leftover

Other Materials

  • Garbage bags (1-2)
  • Ice Shavers (2) - stored in McCormick
  • A whole cooler of ice - ice from BC
  • Cups and bowls (150-200 people)
  • A lot of spoons (read Other Notes below)

Other Notes

  • Double check that the booth we get for Activities Midway has electric power cords. There was a small mistake, but Julia emailed them and confirmed the right booth for us.
  • We served ice to about 150-200 people. Biggest issue was running out of spoons, and then running out of forks, and the last two or three people, we gave them knives. :( So make sure we have enough spoons for everyone. We also ran out of cups and started using bowls.
  • Leftovers
    • Perishable (i.e. cans/jars were opened)
      • Grass Jelly, Green Grass Jelly, and Lychee
      • There were a lot of leftovers, likely because there are a lot of other activities going on during Activities Midway so a lot of people don't come. We brought leftover grass jelly to Bobafest and some people liked it in their milk tea, but only the black grass jelly, not the green one.
      • Remaining lychee was thrown out :(
      • Jars of Green Nata de Coco (because drained and opened) were just given to exec XD
    • Others (unopened cans)
      • Pineapple chunks, fruit cocktail, red bean paste, and condensed milk cans (for quantities see Toppings) were stored in cooler
  • The booths on our right were literally empty...
  • Pubbing about Bobafest
    • Designs are in Publicity Dropbox - ATS design on one side with Bobafest pub on the back
    • 1050x600 ppi designs are what we wanted cards to look like. CopyTech wants slightly larger because the edges will be cut off to make them the proper size, so the 1110x660 ppi designs were submitted. (ppi = pixels per inch)
    • Printed out 250 cards at CopyTech
    • Started handing out cards the day before, and saved 100-150 cards to hand out during Activities Midway. Seeing the big turnout at Bobafest, business cards were really effective.
    • NOTE: Use a design without dates, i.e. just "Saturday @ 4PM" so that any leftover cards can be used for future years (assuming the event stays on a Saturday at 4PM)
