Event Overview

This year, Strait to Taiwan fell on 4/25/2016, the Monday after the 4-day weekend because Stata was already reserved for 4/20/2016 (the Wednesday right after the 4-day weekend, when we usually host it) by some postering session -_-. Unfortunately, that meant we had to do shopping on the Friday, and prep on Saturday/Sunday. We had less exec and volunteers who were available, which meant more work for the people there. Moral of the story: reserve Stata earlier? We reserved in the beginning of March, which is usually no problem, but maybe try reserving earlier?

Despite having less volunteers and blowing the outlets (as we do every year), our event went pretty successfully. We started an hour later (11AM instead of 10AM) so exec could get more sleep. We still sold out pretty quickly, and a lot of people came to the event.

Possible changes: Include money for pub: ~$50 for 11x17s ~$100 for large print poster

2016 Shopping List

New things to consider getting:

  • hand soap
  • steel wool
  • measuring cups / spoons (mostly need 1 cup + 1 tablespoon + 1 teaspoon)
  • cloth towels
  • metal strainer
  • tupperware to store extra salt, sugar, flour

things not to get cuz we have A LOT:

  • aluminum foil
  • gallon bags
  • salt
  • parchment paper
  • gloves
  • sponges
  • prolly napkins (check mccormick)

COSTCO Julia + Sarah

  • Buy more soy sauce (maybe 5 bottles instead of 3). The only reason we didn't run out was because we had quite a bit in storage.

Notes

Volunteers

  • This year there were less volunteers helping out because it wasn't on the four day weekend.
  • We also forgot to keep track of hours oops. Be sure to do that next year!

Day Of

  • Having a detailed itinerary with who should be where at all times is extremely useful.
  • Have more people stay at Next House to prep boba/shaved ice and load/unload. We ran a little late because we didn't have enough people at Next.

Food

Note: No mochi this year! We had less help this year so we cut out mochi. We did make some exec mochi though.

  • Chicken Skewers
    • We actually didn't sell out by 3pm :O. Probably the reason we had a tray left over at 3pm is because we didn't sell them at the reduced price this year.
    • Sellout: ~3:20pm
  • Zong Zi
    • We kept track of meat and vegetarian this year!
    • We made more zongzi this year, ~120 vegetarian and ~110 meat.
    • Make more meat zongzi next year since they sell out much faster than vegetarian.
    • We also made 20-30 exec zongzi (veggie, meat, and red bean) :P
    • Sellout: 1:15pm
  • Pork Rice
    • Maybe we shouldn't have put it in the freezer. The pork fat was all frozen and it took a while to melt. Was still extremely popular.
    • Pork to rice ratio (25lbs to 25lbs) was right on. They ran out at almost the same time.
    • Sellout: 12:59pm
  • Scallion Pancakes
    • Cut up scallions into smaller pieces, so they don't pop out when you roll the pancakes.
    • Make more exec scallion pancakes that we can eat.
    • People waited an hour when there was only one griddle going (b/c the other outlets blew).

  • Potstickers
    • Sellout: 2:06pm
  • Tea Eggs
    • Don't refrigerate them! Leave them in room temperature, so you don't need to heat them when serving.
    • Sellout: 1:20pm
  • Shaved Ice
    • Sellout: NEVER
  • Drinks
    • Make more boba. We made 3 pots, and it still sold out quickly. People were sad there was no more boba.
    • Drink sell out order: Boba, Cider, Chrysanthemum, Soy, Aloe, Green Tea. Buy more of the popular ones (the ones that sell out earlier).
    • Boba sellout: 12:57pm
    • Drinks Sellout: 2:37pm

Activities

  • Activities were kind of sad this year because we had limited volunteers so activity booths were unmanned except Chinese Chess.
  • Maybe consider not having activity booths (or having less) next year? People generally just come for the food anyways.
