Description

Started planning for the event the Sunday before the event, which was Thursday. Booked the Game Room of McCormick Sunday night, event set for 8 pm due to various scheduling conflicts. Picked McCormick because the location was closer to most people's dorms, has game room with big projector so all the infrastructure was already in place, knew the Head of House had mics from a previous karaoke event, pool/ping pong table in game room, also because two of the planners (Sarah and Emily) live here.

Sent out first pub email Monday--a little later than ideal.

Asked for mics from Raul, the head of house, via email, acquired them Thursday morning. He was very nice and had someone else bring it as he was away!

Bought snacks at H-Mart the day before, spent around $47. Would’ve been cheaper at C-Mart but was too far away and would have to pay more for transportation.

Sent out one more pub email Thursday morning.

Sarah went in during the afternoon day of to test equipment, and did some magic to make it work (email her w questions -- saracola@mit.edu). We made a public youtube playlist with some initial songs, passed around Emily's phone during the event for people to add songs.

Challenges: Planning the event in short notice as it was the very first week of IAP, we didn’t start until really the week of.

Food

Cookies, chips, jellies, choco pies, hello panda, aloe, etc. Someone brought popcorn chicken.

Materials

Got mics from McCormick Head of House. Phone YouTube app connects to the projector, so you can just play lyric videos from there.

Other Notes

Overall improvements to make for next year:

1. Start planning earlier, at least a week out.

2. NEED TO BUY MORE SNACKS! Even 3 bottles of aloe was not enough, and pretty much all the snacks were all gone within like 1 hour.

3. Find a way to not have people tap people in (can only submit one guest list at time of room reservation)
